How to Perform a Stocktake with ARScan2

A complete step-by-step guide to performing a stocktake using the ARScan2 scanner and software, from initial preparation to committing the final count data to your MYOB AccountRight file.
Phase 1: Preparation (The Day Before)
- Charge Your Scanners To ensure your scanners last the entire stocktake, place them on their charging cradles the night before you begin.
Phase 2: Pre-Count Setup (Day of Stocktake)
- Clear Old Count Data Open the ARScan2 software on your PC. Go to the Stocktake tab and click View Count Data. If you see any items listed, go to the main menu and select Database > Delete All Count Data to clear them.
- Check and Set the IP Address Ensure your PC and scanner are configured with the correct IP address. For instructions, see our guide: How to Set the IP Address for ARScan2.
- Clear Old Data from the Scanner On the scanner’s main menu, tap System Menu, then Delete Data. You will be asked to confirm this action twice.
Phase 3: Counting
- Load the Latest Item List to the Scanner On the PC: In ARScan2, go to the Item List tab. Click Import Data from AccountRight, and once complete, click Send Data to SFTP Server. On the Scanner: From the main menu, tap Receive Data. Check that the date of the file is correct.
- Count Your Stock On the scanner, tap Inventory, then Count Stock. Enter an Identifier for the session and tap OK. Begin scanning items and entering quantities.
Phase 4: Processing the Count
- Send Count Data from Scanner to PC From the scanner’s main menu, tap Send Data. This transfers the count file to the PC.
- Import and Review the Data on the PC In the ARScan2 software, go to the Stocktake tab and click Import Scanner Count Data, then click Import Data from Scanner. Review the data and click Save.
- Commit Count Data to AccountRight From the Stocktake menu, select Commit Count Data to AccountRight. Enter a Memo for the adjustment and click Commit.
- Zero Uncounted Items?
CRUCIAL STEP:
You will be asked: “Do you want to set the Stock On Hand quantity for all items that you haven’t counted to zero?”
- – Answer YES if: You have performed a full stocktake of all items.
- – Answer NO if: You have performed a partial stocktake of only specific items.
After you make your selection, the commit process will begin and your stock levels in MYOB AccountRight will be updated.
